Should you stay on Notion?

Main topic: Should you stay on Notion · Facts checked 3 November 2026 — prices change, so re-check the official page before acting on them.

Short answer: stay on Notion if your databases, relations, formulas and team habits are doing real work — that system does not move cleanly anywhere, and rebuilding it costs more than the subscription. Leave if you need real offline access, local files you own, or freedom from per-member pricing (Plus $10, Business $20 per member/month billed yearly — checked 3 November 2026).

Stay if these win

  • Your databases are a system, not storage. Relations, rollups and formulas wired across projects are Notion’s home turf. Every alternative makes you rebuild them — some cannot express them at all.
  • Your team actually lives there. Shared habits, comments and permissions are a cost of moving that no export captures.
  • You rarely need offline. If you are always connected, Notion’s limited offline access never bites.
  • The bill is small at your size. Five members on Plus is $50/month billed yearly. If the system saves each of them an hour a month, it has paid for itself.

Leave if these win

  • Offline is non-negotiable. Planes, fieldwork, bad connections: local-first tools (Obsidian, Anytype) simply work; Notion’s offline access is limited.
  • You want your data as files. Notion data lives in Notion’s cloud. If “a folder of files I own” is the requirement, that is Obsidian’s whole design.
  • Per-member pricing punishes your shape. Wide, shallow workspaces — many light members — pay the most per unit of value. Run the cost calculator at your real member count.
  • Notion AI is not earning its tier. If Business is bought mainly for AI you barely use, the tier below plus a separate AI tool may be cheaper.

The safe way to test leaving

Export first. Take one real project — not a toy — rebuild it in the alternative you picked from the picker quiz, and work in it for two weeks while Notion stays untouched. Watch specifically for the three things that break: database relations, formulas/automations, and sharing with your team. If the rebuild holds, migrate the rest in stages. If it does not, you have lost two weeks, not your workspace.

Questions people ask

What is the biggest risk of leaving Notion?

Believing the export is the move. Pages and CSVs export fine; the connected system — relations, rollups, formulas, automations — does not. People discover this halfway through a migration. Test on a copy, with one real project, before committing.

Can I keep Notion and use an alternative too?

Yes, and it is often the smart split: Notion keeps the team databases it is good at, while a local tool (Obsidian or Anytype) holds your private notes and offline work. Just decide which tool owns which job, or you will lose track of where things live.
